Selection and admission

SELECTION AND ADMISSION

The selection and admission processes will consist of the following steps: eligibility check, pre-selection and interview.

ELIGIBILITY CHECK

The EMaCS Coordinator will conduct an eligibility check during and immediately after the closure of the Call for Applications. This stage involves verifying compliance with the minimum requirements outlined in Requirements.

Candidates whose applications do not meet any of the specified requirements will be deemed ineligible and excluded from consideration. The Coordinating Institution will notify ineligible participants of the reasons for their exclusion and provide information on the appeals procedure no later than one month after the closure of the call.

PRE-SELECTION PROCESS

Each eligible application will be evaluated on a 100-point scale. The following joint selection criteria will be applied:

AVERAGE GRADE OF THE ACADEMIC RECORD OF THE STUDENT'S DEGREE TITLE (180 ECTS): 0 - 15

Grades equivalent to the ECTS graduation and validated by the Consortium through a public conversion table exposes on the EMaCS website.

  • A (outstanding): 15 points
  • B (very good): 10 points
  • C (good): 7 points
  • D (satisfactory): 5 points
  • E (sufficient): 2 points

NOTE: Due to the impossibility of having a table of equivalences that considers grading systems from all countries worldwide due to their high number, annually, at the close of the application period, a specific equivalence table will be prepared for the home countries of the candidates who have applied in that year. This table, along with the sources used for its preparation, will be sent to all candidates in the acceptance email for them to, if they wish, submit claims.

The definitions of the grades in the ECTS system, which will be used to create the equivalence table, are as follows:

  • A: outstanding performance with only minor errors. % of successful students normally achieving the grade = 10%
  • B: above average standard but with some errors. % of successful students normally achieving the grade = 25%
  • C: generally sound work with a number of notable errors. % of successful students normally achieving the grade = 30%
  • D: fair but with significant shortcomings. % of successful students normally achieving the grade = 25%
  • E: performance meets the minimum criteria. . % of successful students normally achieving the grade = 10%
RELEVANCE OF THE TOPIC OF THE FINAL BACHELOR’S PROJECT OR ANY OTHER RESEARCH PROJECT DOESN'T RESULT OF THE FINAL BACHELOR'S PROJECT, RELATED TO EMaCS AND ITS CONTENT: 0 - 10
  • Research Project: 3 points/each (up to a maximum of 2)
  • Final Degree Project: 1 point/each (up to a maximum of 2)
ACADEMIC AWARDS: 0 - 2
  • 0,5 points/each (up to a maximum of 4)
OTHER UNIVERSITY DEGREES: 0 - 4

Only additional completed and official university studies whose issues correlate with EMaCS content are valued.

  • Master or postgraduate’s degree = 1 points/each (up to a maximum of 2)
  • Bachelor’s degree = 1 point/each (up to a maximum of 2)
CO-CURRICULAR MERITS: 0 - 2
  • Scientific conferences and publications related to the EMaCS content: 0.5 points/each (up to a maximum of 4).
ADVANCED ENGLISH KNOWLEDGE (>B2): 0 - 4

Knowledge of languages accredited with a valid certificate is valued.

  • Knowledge of advanced English (C2 or equivalent): 4 points
  • Knowledge of advanced English (C1 or equivalent): 2 points
AVERAGE KNOWLEDGE OF OTHER LANGUAGES (>A2): 0 - 3

Knowledge of languages accredited with a valid certificate is valued.

  • Advanced knoledge >B2 or equivalent: 3 points.
  • Advanced knowledge B1 or equivalent: 1.5 points.
PROFESSIONAL EXPERIENCE: 0 - 12

Professional experiences related to EMaCS that are endorsed and justified in the letters of recommendation provided by the student. The total sum of time worked will be valued.

  • Experience > 5 years: 8 points
  • Experience between 3 and 5 years: 5 points
  • Experience between 2 and 3 years: 3 points
  • International experience: 1 additional point/ each international experience (up to a maximum of 4 points)
VOLUNTEERING EXPERIENCES: 0 - 8

Volunteering experiences related to EMaCS that are endorsed and justified in the letters of recommendation provided by the student. The total sum of time as volunteer will be valued.

  • Experience > 3 years: 7 points
  • Experience between 1 and 3 years: 4 points
  • Experience < 1 year: 2 points
  • International experience: 0.5 additional points/ each experience (up to a maximum of 2 points).
INTERNSHIPS: 0 - 7

Academic internships or not, related to EMaCS contents that are endorsed and justified in the academic certificates or letters of recommendation provided by the student. The total sum of time in practices will be valued.

  • Experience > 2 years: 5 points
  • Experience < 2 years: 2 points
  • International experience: 1 additional point/each experience (up to a maximum of 2 points).
COURSES: 0 - 3
  • Specific courses related with computer science: 0.5 points by 50 hours of official training (up to a maximum of 6).

It will be valued the next parameters:

  • Relevance of the specific track for the applicant: 10 points.
  • Connection to /interest in the partner countries: 5 points
  • Personal goal / intercultural experience: 5 points

 

It is valued up to a maximum of five letters of recommendation, written expressly for evaluation in EMaCS, with a minimum of two.

  • 5 letters of recommendation: 10 points
  • 4 letters of recommendation: 7 points
  • 3 letters of recommendation: 3 points
The Consortium will assess the final grades and comments, creating a ranking based on average scores. The top candidates will receive email invitations for the 3rd phase (interview), while the remaining candidates will be notified of the panel's decision and informed about the appeals procedure via email.
All candidates will receive email notifications regarding the preselection outcome and the overall score of their application. These notifications will be sent no later than two months after the closure of the Call for Applications.

INTERVIEWS

The interview phase of the EMaCS selection process involves a jury team of five evaluators, one from each partner, conducting video interviews lasting approximately 15 to 30 minutes. The interviews are recorded, and candidates are assessed against the following criteria:

  • Individual criteria defined in advance of each interview, complementing the information provided in the online application.
  • Common criteria:
    • Ability to demonstrate the adequacy and consistency between the objectives of the Degree Programme and the applicants’ background and/or professional project.
    • Knowledge of EC & Unesco priorities related to Inclusion; Environment and fight against climate change; and Diversity and Digital transformation.
    • Motivation and professional project.
    • Commitment to the development of quality education programs that enable students to achieve full citizenship in the society in which they live, aiming at social justice through a more holistic technoscientific literacy from different disciplines perspective.

Following the interviews, the evaluators rank program and scholarship awardees, and a final, absolute ranking is established by the Consortium. This ranking indicates admitted candidates with EMJM scholarships, those on the reserve list, self-financed students, and those not admitted.

Candidates admitted to the interview phase are notified of their final score and place in the ranking within one week after the interview period. Admitted candidates receive information about their mobility path allocation, the enrolment procedure, and relevant documents, including the Student Agreement (PDF 1 MB). EMJM grant awardees receive a Notice of Award.

INCIDENTS, COMPLAINTS, CLAIMS AND SUGGESTIONS

For reporting incidents, complaints, claims or suggestions, it is necessary to formalize the document 'Request of Incident, Complaint, Claim or Suggestion (WORD 56 KB)'. Once completed, it will be sent via email to emacs.erasmus.mundus@ubu.es or submitted in print at the EMaCS Coordinator's office. Alternatively, the incident, complaint, claim, or suggestion can be conveyed verbally to a member of the Steering Committee, who will act as an intermediary to formalize the request.

To be admitted for processing, the reason for the request must be adequately justified, and the sender must be correctly and fully identified as a member of the EMaCS community. If a person is acting on behalf of a group, explicit details of the group members must be provided in the form.

Admitted requests will be forwarded to the Quality and Ethics Manager for channeling to the relevant person or entity. The Quality and Ethics Manager will notify the interested party of the measures taken regarding their request within 15 business days from submission.

The service, department or person involved will open a file on the incident received, which will remain open until the actions related to it are completed. Once resolved, it will send the complete files to the Quality and Ethics Manager for their knowledge, file and follow-up, if necessary. Any appeal will be dealt with within 28 calendar days after receipt. A written reply will be sent to the candidate with the reasoned decision taken.

REGISTRATION AND ENROLMENT

All admitted students, whether recipients of scholarships or self-funded, will undergo regular registration at UBU for the entire duration of EMaCS.

Scholarship awardees opting for the second semester at HAW will be enrolled as regular students at this institution throughout the programme. These students will have dual enrollment from the commencement of EMaCS.

Students (whether scholarship holders or not) electing to complete the second and/or third semester at Turku UAS, UVT, and IPC will be registered as mobility students for 30 ECTS. If they also choose to pursue the 30 ECTS for the Final Master Project at one of these institutions to obtain the corresponding diploma, they will be converted to regular students through the internal procedure of that institution. This conversion will occur before the commencement of the second academic year of the respective edition.
